Daily and weekly espresso machine maintenance to prevent breakdowns
Most espresso machine problems start with scale buildup, old grounds in the group head, or a gasket that dried out. This guide covers the checks and cleaning steps that keep a commercial machine running between professional service calls.
01Backflush the group head at the end of each day
Insert a blind basket into the portafilter and add a small amount of espresso machine cleaner. Lock the portafilter into the group head and run the brew cycle for ten seconds, then stop and let it sit for ten seconds. Repeat five times, then run three cycles with just water to rinse out the cleaner. This removes coffee oil buildup from the dispersion screen and the inside of the group head.
02Wipe the gasket and dispersion screen after every shot
Use a damp cloth to wipe the rubber gasket and the metal screen inside the group head after you remove the portafilter. Dried coffee grounds stick to the gasket and cause leaks, and grounds on the screen fall into the next shot. This takes five seconds per group and prevents most gasket problems.
03Empty and rinse the drip tray twice a day
Pull out the drip tray, dump the liquid, and rinse it with hot water. Dried milk and coffee syrup in the tray smell bad and attract fruit flies. If your machine has a drip tray sensor, wipe the metal contacts with a dry cloth so the sensor keeps working.
| Task | Frequency | Takes |
|---|---|---|
| Wipe group gasket and screen | After each shot | 5 seconds |
| Backflush group heads | End of day | 3 minutes |
| Empty and rinse drip tray | Twice per day | 2 minutes |
| Clean grinder burrs and chute | Every two weeks | 15 minutes |
| Check water filter | Monthly | 5 minutes |
When to call for service
If the machine loses pressure, leaks water from the group head, takes more than ten minutes to heat up, or produces steam that smells like burnt plastic, turn it off and call for service. These problems do not fix themselves and running the machine makes them worse.
04Check the water filter and softener monthly
If your machine is connected to a water filter or softener, check the manufacturer's replacement schedule. Hard water leaves calcium deposits inside the boiler and clogs the solenoid valves. If you see white scale on the outside of the machine or around the water line, the filter is overdue. Replace the filter cartridge and descale the machine with a commercial descaling solution.
05Clean grinder burrs and chute every two weeks
Turn off the grinder and unplug it. Remove the hopper and the top burr according to the manufacturer's instructions. Use a stiff brush to remove coffee grounds and oil from both burrs and from the chute that leads to the portafilter. Old coffee oil turns rancid and affects the taste of every shot. Vacuum out the grinder chamber before reassembling.
06Run a test shot every morning before opening
Pull one espresso shot before customers arrive and check the temperature, pressure, and flow rate. If the shot runs too fast or too slow, adjust the grind setting. If the machine takes longer than usual to heat up or the steam wand has weak pressure, note it and schedule a service call before the problem gets worse.
